Roles in SIX ERP provide a streamlined way to assign permissions to staff members according to their specific activities within the organization. By creating roles with pre-configured access settings, organizations can manage user permissions efficiently, ensuring employees only have access to the data and functionalities necessary for their roles.
Roles in SIX ERP are reusable entities that store access permissions for different areas of the system. Each role is customizable, allowing administrators to define the exact permissions required for each user or group based on their responsibilities. Once a role is configured, it can be assigned to multiple staff members, simplifying access management and maintaining a consistent permissions structure.
Creating roles in SIX ERP is straightforward. Follow these steps to set up roles with the appropriate permissions:
Navigate to Setup -> Roles in the SIX ERP left menu sidebar.
This will display a list of all existing roles. To add a new role, proceed to the next step.
Click on the New Role button to start configuring a new role.
A new screen will open, prompting you to define the settings for the role.
Role Name: Enter a descriptive name for the role, reflecting the role’s function or the department it’s associated with (e.g., "Sales Manager," "HR Specialist").
Access Levels: For each module or functionality that the role will have access to, specify the level of access. SIX ERP provides fine-grained access control options, which include:
View (Global): Allows users to view all data across the organization within this module.
View (Own): Limits data visibility to only the user’s own entries or those related to their specific tasks.
Create: Grants permission to create new entries or records within the module.
Edit: Allows users to modify existing records within the module.
Delete: Enables users to delete records in the module.
Some modules and functionalities may have additional structured permissions, based on the module’s complexity and data sensitivity. For example, in finance or HR modules, you may find options for specific data types, such as Edit Salary Data or View Confidential Information, providing more precise access control.
After configuring the permissions for each relevant module, review the role settings to ensure accuracy.
Click Submit to create the role.
You can now assign this role to staff members who need these specific permissions.
Consistency in Naming: Use clear, descriptive names for roles to maintain an organized role list and make it easy to understand each role’s function.
Principle of Least Privilege: Only grant the minimum permissions necessary for each role to complete its tasks, enhancing both security and system stability.
Review and Update Regularly: Periodically review and update roles as organizational needs evolve or as team members take on new responsibilities.
Creating and managing roles within SIX ERP provides a robust, scalable way to maintain secure, effective access control, allowing your staff to work with the appropriate tools and data they need, while protecting sensitive information and maintaining system integrity.
