Effective management of overtime is crucial for maintaining a balanced work environment and ensuring that employees are compensated fairly for additional hours worked. SIX ERP facilitates easy recording and approval of overtime, streamlining the process and ensuring transparency and accuracy. This article provides a step-by-step guide on how to register overtime using the SIX ERP system.
Please note that in the SIX ERP system, overtime must be registered individually by each staff member for their own hours worked. Administrative staff are not able to register overtime on behalf of other employees. This ensures accuracy and personal accountability in the recording of overtime hours. Each employee is responsible for submitting their own overtime for approval directly through the system.
Log into SIX ERP: Start by signing into your SIX ERP account with appropriate credentials.
Navigate to Timekeeping: From the left-side menu, select "Timekeeping > Leave" and then click on "Leave" to access the leave and additional work hours management section.
Select the Additional Work Hours Tab: Within the Timekeeping > Leave section, locate and select the tab labeled "Additional Work Hours." This section is specifically dedicated to managing hours worked beyond the normal working schedule.

Add Overtime Entry: Click on "ADD" to open the overtime registration dialog. This is where you will input the details of your overtime work.

Fill Out Overtime Details:

Select the Date (1): Choose the date on which the overtime work occurred. Ensure this is accurate to avoid any discrepancies during approval.
Time Started (2) and Finished (3): Enter the time you started and ended your overtime work. The system will automatically calculate the total hours worked beyond your regular schedule.
Reason for Overtime (4): Provide a clear and concise reason for the overtime. This could be due to an urgent project deadline, unexpected workload increases, or other pertinent reasons.
Submit for Approval: After filling out all the necessary details, click the "SUBMIT" button to store your overtime request.
Now view your Request for Overtime using the right 3 dot menu on each Overtime Request. Commonly you are looking for your last request, labeled "Not yet approved".

In the Request Preview Slide-in Click on the green "REQUEST APPROVAL" Button to get the request reviewed by your supervisor or the designated approver in your organization.

Once your request will be approved or denied you will be notified. In case of approval your timesheet will include the overtime, labeled as normal work time.
Clear Communication: Before registering overtime, it is advisable to discuss the necessity of the extra hours with your supervisor. Clear communication helps in ensuring that the overtime is justified and aligns with company or project policies.
Understand Company Policies: Familiarize yourself with your organization’s policies on overtime. Some companies or projects may have specific rules regarding when and how overtime can be approved.
Documenting Reasons: When providing the reason for overtime, be specific and detailed. This documentation will assist approvers in understanding the context and need for the additional hours, facilitating a smoother approval process.
Registering overtime in SIX ERP is designed to be a straightforward process that promotes accuracy and efficiency. By following these guidelines, employees can ensure that their extra work hours are properly recorded and compensated. Additionally, adhering to best practices such as preemptive communication with supervisors and understanding organizational policies can greatly enhance the likelihood of approval and reduce any potential conflicts or misunderstandings regarding overtime work.
