Approval of Leave Requests

In SIX ERP, managing and approving leave requests is a streamlined process designed to ensure efficiency and transparency within an organization. Administrators, supervisors, and HR staff are equipped with tools to promptly review and act on leave applications, ensuring that staffing levels are maintained and compliance with company policies is upheld.

Notification of Leave Requests

Upon the submission of a new leave request, key personnel involved in the approval process—such as administrators, supervisors, and HR staff—are notified in two ways:

  1. Email Notifications: An email alert is sent directly to the approver’s inbox, detailing the leave request and providing a prompt to take action.

  2. System Notifications: In addition to email alerts, notifications are also pushed through the SIX ERP system interface, alerting approvers of new requests as soon as they log in.

Approver can also regularly check for new requests by navigating to:

Timekeeping > Leave: This section displays a list of active leave requests. New requests are prominently marked with the label "NEW" to easily distinguish them from previously reviewed entries.

Reviewing Leave Requests

To review the details of a leave request:

Navigate to the Active Leave Request List under Timekeeping > Leave, accessed from the left-side menu.

Three-dot Menu: Each list item has a three-dot menu on the right side. Click this menu to expand options.

View Details: Select the appropriate option to open and review the full details of the leave request, as submitted by the staff member or entered by administrative personnel.

Approving or Denying Requests

Once a leave request has been reviewed, the approver must decide to either approve or deny the request based on company policies, staff entitlement, and operational needs. The process involves:

Justification

If Approved: It’s a good practice to add a justification for approving the request, which helps in maintaining transparency and records for future reference.

If Denied: Provide a clear and constructive reason for the denial so that the staff member understands why their request was not approved. This feedback is crucial for maintaining good relations and clear communication within the team.
